Invoice Generation
Chronoid can turn your tracked time directly into invoices. No need to manually calculate hours or switch to a separate invoicing tool — everything is built in.
Configure Invoice Settings
Before creating your first invoice, set up your billing details:
Sender Information
Your business or personal details that appear on every invoice:
- Name or company name
- Address
- Email and phone number
Client Information
Details for the person or company you're billing:
- Client name or company
- Client address
- Contact information
Billing Defaults
- Hourly rate — Your default rate per hour
- Currency — Choose from USD, EUR, GBP, CAD, AUD, JPY, CHF, or SGD
- Payment terms — Number of days until payment is due (e.g., Net 30)
These defaults are pre-filled on every new invoice. You can override them per invoice if needed.
Create an Invoice
- Navigate to the Invoices section
- Click Create Invoice
- Chronoid auto-generates:
- Invoice number — Sequential numbering (e.g., INV-001, INV-002)
- Issue date — Today's date
- Due date — Calculated from your payment terms
Review and adjust any fields before adding line items.
Load Billable Hours
Pull tracked time directly into your invoice:
- Click Load Billable Hours
- Select a date range — Choose the billing period
- Filter by project — Include only relevant projects
- Chronoid calculates total hours and amounts automatically
Each loaded entry becomes a line item on the invoice with the project name, hours worked, rate, and calculated amount.
Manage Line Items
After loading hours, you can fine-tune the invoice:
- Add items — Click Add Line Item to include fixed-fee items, expenses, or adjustments
- Edit items — Click any line item to change the description, hours, rate, or amount
- Delete items — Remove line items you don't want to include
- Auto-calculation — Amounts update automatically when you change hours or rates
The invoice total updates in real time as you make changes.
Payment Instructions
Add free-text payment instructions at the bottom of your invoice:
- Bank account details
- PayPal or payment link
- Wire transfer information
- Any other payment notes
This text appears on the exported PDF below the line items.
Export to PDF
When your invoice is ready:
- Click Export to PDF
- Choose a save location
- Chronoid generates a formatted PDF with all your invoice details
The PDF includes your sender info, client info, line items with calculations, totals, and payment instructions — ready to send to your client.
Tips
- Set up billing defaults first — This saves time on every invoice
- Use project-based filtering — Load hours for one client's projects at a time
- Review before exporting — Double-check hours and rates before generating the PDF
- Keep invoice numbers sequential — Chronoid handles this automatically, but avoid manually changing numbers unless necessary
